Start with the people and their roles. Decide who needs routine arming and disarming access, who manages user permissions, and who receives alerts. Ask about individual credentials rather than relying on one code passed between everyone. Include staff changes in your routine checklist. Arrange removal of access that is no longer needed, recover any issued tags or key fobs, and check the remaining keyholder contact details. Do not assume that recovering a building key also removes app or alarm access. Ask the installer to explain the correct removal process for each credential type.
Before handover is complete, practise the normal opening and closing routine with the people who will use it. Keep clear instructions for mistakes, faults and out-of-hours alerts, including who to contact. Review the process after an office move, staffing change or alteration to working hours.
