When a colleague changes role or leaves a business, their door access should be part of the handover. For Salford offices and shared workspaces, a clear process helps keep permissions aligned with who actually needs to enter each area.
Start with an up-to-date access list. Ask the authorised administrator to identify the person's cards, fobs and any other credentials used by your particular system. Include access to shared entrances and internal rooms, and agree who is responsible where the landlord manages part of the building.
Agree the timing before making changes. A role change may need different door permissions rather than complete removal. For someone leaving, record the authorised end date and time and arrange the return of physical credentials. Collecting a fob alone does not confirm that every access permission has been removed.
Check the equipment and management software you actually use. Hikvision's HikCentral documentation describes permissions that combine groups of people, doors and authorised periods. The options on an individual installation depend on its devices, software and configuration, so ask the administrator or installer to confirm the correct process rather than following instructions for a different model.
Verify the result. Ask for confirmation that the intended change has reached the relevant doors, and arrange an appropriate controlled check with the responsible person. Keep a short record of what changed, when it took effect and who checked it. Do not assume a saved entry on a computer proves every controller has received the update.
Review shared credentials too. If a shared code is in use, agree whether it needs changing and how authorised staff will receive the replacement. Avoid circulating access codes in public messages or leaving them beside the entrance. Any change should preserve the building's approved emergency escape arrangements; ask the responsible specialist before altering locking hardware or emergency-release settings.
Make the process repeatable. Include access review in your starter, role-change and leaver procedures, with a named deputy when the usual administrator is away. A periodic review can also identify credentials that no longer have a clear owner.
