An emergency-lighting fault at a Manchester shop or office needs a clear reporting route. A message saying 'the light by the stairs looks wrong' can leave the maintenance team searching for the fitting and the manager unsure what happens next. A short, precise report helps the right people investigate and follow up the concern.

Identify the location first. Record the floor, stairwell or room and any asset number already marked on the fitting. If safe to do so, take a photograph from normal floor level that shows both the light and its surroundings. Do not climb, remove covers or interfere with the unit to collect a model number.

Describe what you observed rather than diagnosing it. Note visible damage, an unusual indicator or a failure reported during an authorised test, together with the date and time. Indicator meanings differ between products, so pass the observation to the competent person responsible for maintenance instead of assuming that a particular colour proves the battery has failed.

Tell the person responsible for fire safety promptly. They need to consider how the concern affects the premises and arrange appropriate action. A repair booking alone does not establish that an escape route is safe to keep using. If there is an immediate safety concern, follow the building's emergency arrangements and obtain urgent competent advice; do not improvise by moving exit signs or changing escape routes yourself.

Keep the report linked to the maintenance record. Government guidance for offices and shops advises keeping fire-safety equipment in effective working order and maintaining records of checks and maintenance. Add who received the report, the contractor reference and the agreed next step so that a change of shift does not lose the issue.

Make the visit easier to complete. Give the engineer access arrangements, relevant test records and any known changes to the area. If the affected fitting is in a shared stairwell, identify the building-management contact as well as the business contact. Confirm who will communicate any restrictions or follow-up arrangements to the people using the premises.

Close the report with evidence. Ask for a clear record of the work completed, checks performed and any outstanding defects or return visit. Keep the status as unresolved until the responsible person has the information needed to close it. A photograph of a light glowing is not a substitute for the required testing and maintenance record.
