Have the emergency plan and relevant staff training records available. Share personal information only where needed for the planning, and discuss individual needs sensitively with the people concerned.
Finish with practical arrangements for the visit. Agree who can answer questions, which parts of the premises need access and who receives the findings. In shared buildings, identify the landlord or managing-agent contact and explain which areas and records you control. Ask how urgent concerns will be raised and how the resulting actions should be tracked after the assessment.
