A missing access card or fob should trigger a clear process, not a search for whoever last spoke to the installer. For a Macclesfield office, workshop or shared business entrance, agree who handles lost credentials before the first one goes missing.

Start with one reporting route. Staff should know whom to contact during working hours and outside them, and what information to provide: their name, the affected site and when they last had the credential. Keep the contact details somewhere accessible without needing the missing fob to enter the building.

The authorised administrator should identify the correct credential and follow the installed system's loss or disable procedure. Hikvision's HikCentral Access Control documentation includes card-loss and disable/restore functions. Availability and the exact steps depend on the platform, device and setup, so ask your installer to demonstrate the procedure on your own system. Do not assume reporting the loss to a colleague has removed the card's access.

Agree how the administrator confirms that the change has reached the relevant doors or controllers. A status shown in management software and the result at an entrance are separate things to check. If a device is offline or an update has failed, follow the site's agreed escalation process and obtain installer support.

Replacement access should be deliberate. Confirm the person's identity through your normal internal process, give only the access they need and record what was issued. Where temporary credentials are supported, agree an expiry and who will recover them. Avoid handing out an unrestricted shared spare simply because it is convenient.

If the original card turns up, send it back to the administrator instead of assuming it is safe to use again. Decide which credential should remain active and update the record. Include lost, replaced and returned cards in periodic checks so unused access does not quietly accumulate.

Use the handover to practise the process with an agreed test credential. Ask your installer to show loss reporting, replacement, confirmation and the support route without disrupting normal access. Keep the instructions and an up-to-date authorised contact list with the people who manage the premises.
